How FitnessPlanner handles personal information.

This policy explains what information we collect, how we use it, and the choices available to clubs, coaches, and members who use FitnessPlanner.

Information we collect

We collect account details, club and member profile information, billing details, booking activity, training records, health and fitness information such as body weight, nutrition and movement screenings, device information, and messages or requests you send through FitnessPlanner.

When clubs invite coaches or members, we process the information needed to manage those invitations, memberships, schedules, credits, invoices, workouts, assessments, and attendance records.

How we use information

We use information to provide the FitnessPlanner service, secure accounts, operate club workflows, support bookings and training features, respond to requests, and improve reliability.

We may also use contact details to send service messages such as booking reminders, account notices, security alerts, and important product updates.

Sharing and processors

We share information with the club, coaches, administrators, and members who need it to use the service. We also use trusted service providers for hosting, analytics, email, payments, storage, e-invoicing, and support.

Service providers process personal information only on our instructions, under agreements that require them to protect it at least as well as this policy does.

We do not sell personal information. We may disclose information when required by law, to protect rights and safety, or as part of a business transfer.

Retention and choices

We keep information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements.

You can delete your account yourself. In the app, open your profile at the top of More and choose Delete account; on the website, sign in and open your profile settings. Deleting erases your account and personal data at every club you belong to. Delete your FitnessPlanner account explains what is erased, what may be kept and for how long.

You can also request access, correction, export, or deletion of personal information by contacting us. Some information may need to be retained where the law or legitimate operational needs require it.

Security

We use administrative, technical, and organizational safeguards designed to protect information. No internet service can guarantee absolute security, but we work to keep the platform resilient and monitored.

The FitnessPlanner app and your health

This section describes the FitnessPlanner app for iPhone and iPad.

Health and fitness information. When you train with FitnessPlanner, information about your health and fitness passes through it: the workouts you log, your body weight, nutrition plans, food logs, habits and day notes, the scores, notes and photos of movement screenings (FMS), and your answers to journals and intake questionnaires. Your coaches, your dietitian and your club's administrators see it so they can coach you. We use it only to provide the service. We never use it for advertising or marketing, and we never sell it.

Apple Health and Apple Watch. On iPhone, the app can put the runs from your plan on your Apple Watch. Those workouts come from your plan, and nothing is read from Apple Health to schedule them. If you also turn on Sharing with your coach under More › Apple Watch workouts, the app asks to read workouts, heart rate and walking and running distance from Apple Health. It reads them only for workouts scheduled from your plan, and sends FitnessPlanner a summary of each one (time, duration, distance and heart rate) so your coach can review it. The app writes nothing to Apple Health. Data from Apple Health is never used for advertising, marketing or data mining, is never sold, and is not stored in iCloud. Turn sharing off in the same place to stop it; summaries already shared stay with your coach until your account is deleted. You can also withdraw the app's access in the Health app.

Camera, photos and microphone. The app uses the camera only when you start something that needs it. When you scan a food barcode, we look the barcode up in the Open Food Facts database, and nothing about you is sent with it. Coaches record a short video of a screening movement: the frames they pick are uploaded as photos, and the video, sound included, is deleted from the phone. You can also take or choose a profile photo. The photo library opens in the system picker, so the app only receives the photo you choose.

Calendar. When you ask, the app adds a booked session to your phone's calendar. It can add events, but it cannot read your calendar.

Notifications and your device. If you allow notifications, we store a push token for your device to send you reminders, booking changes and messages from your coach. With every request the app tells us its platform, version and build, so we can keep older versions working or ask you to update. The app keeps a copy of your data on the phone so you can keep logging without a connection; signing out removes that copy.

Support logs. Found an issue? in the app prepares an email to us with a log of the last week's activity attached. The log records identifiers, event types and counts. It reaches us only if you send the email.

Google Calendar

Clubs can choose to copy their agenda into Google Calendar. A club owner or administrator turns this on by connecting a Google account. Until then, no club information is sent to Google Calendar.

What we access. When you connect, Google shares your Google account ID and email address with us and lets FitnessPlanner manage the calendars it creates in your account. We ask for nothing else: we cannot see or change your other calendars, and we cannot see who you share a calendar with.

How we use it. We create one calendar per coach and keep it in line with the club agenda. The sync runs one way. We read the events in these calendars only to check that they still match the agenda: changes made directly in Google are undone, and events or guests added there are removed. We keep the account ID, the email address and the calendar and event IDs needed to keep the copies up to date. We do not keep what we read back from Google.

What we send to Google. Each calendar is named after the club and the coach, and an event staffed by more than one coach names the others. A one-on-one session shows the service and the member's name, as a full name, first name or initials depending on the club's setting. A group class shows only its title, without participants. Leave and unavailability show only their type. Notes, travel time for home visits and unconfirmed events are only included when the club turns them on.

Sharing. We do not share data from Google with anyone. The calendars live in the connected Google account, and the account holder decides who can see them. Google handles those calendars under the terms that apply to that account, as described in Google's privacy policy.

Security. We store the access tokens for your Google account and the sync settings encrypted, and use them only to update these calendars.

Retention and deletion. Events are removed from Google 90 days after they end. When a coach leaves the club, their upcoming events are removed. When a member's personal data is erased, their name is removed from the events. Disconnecting deletes the calendars FitnessPlanner created, erases the connection details we stored and ends our access to your Google account, unless the same account is still connected to another club. You can also remove FitnessPlanner's access at any time in your Google account. The sync then stops, but calendars already created stay in your account until you delete them.

Limited Use. FitnessPlanner's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use this data only to provide the calendar sync. We do not sell it, use it for advertising, or use it to develop, improve or train AI or machine learning models. People at FitnessPlanner do not read it, except with your permission, for security reasons or when the law requires it.

Invoicing and Peppol

Clubs can invoice their members through FitnessPlanner. The club issues those invoices; we prepare, store and deliver them on its behalf.

What we process. Who pays (the member, a company or a guardian), with their name, email address and billing address, and for a company its enterprise and VAT number. Each invoice and credit note holds these details, the lines and amounts, and the name of the member it is for. We also record the payments the club registers and whether an email or Peppol delivery arrived.

VAT numbers. When a company's VAT number is saved, we check it against the European Commission's VIES register.

Delivery. Invoices go out as a PDF by email. An invoice to a Belgian company is sent over the Peppol network through Recommand (BRBX BV, Peer, Belgium), a Peppol access point that acts as our processor and hosts data in the EEA. Recommand receives the invoice file with its PDF and passes it to the company's own access point. Recommand's privacy policy explains how it handles that data.

Connecting Peppol. To send over Peppol, the club's owner registers the club's company with Recommand and completes Recommand's identity verification on Recommand's own page. We store the club's company details and the connection, not the verification documents.

Retention. Issued invoices, credit notes, payments and delivery records are accounting records. We keep them for as long as Belgian accounting and VAT law requires, also after an account is deleted or a member's personal data is erased. Drafts are deleted with the membership.

Optional analytics and cookies

With your permission, we use Google Analytics to understand which pages people visit and how they find FitnessPlanner. Google receives page information, campaign details and technical browser information. We do not send form contents, account names, email addresses, training records or health information to Google Analytics. Analytics is optional and stays off until you accept it.

Your choice applies across fitnessplanner.be and its FitnessPlanner web-app subdomains. The essential cookie fp_analytics_consent remembers your choice for 180 days. When you accept, Google Analytics uses _ga cookies to recognize your browser across visits. Essential cookies needed for sign-in, security and site preferences work independently of analytics.

You can reject analytics, change your choice or withdraw consent at any time through Cookie preferences in the website footer or the web app. Withdrawing stops future analytics collection and removes the analytics cookies; it does not undo processing that already took place. Refusing analytics does not limit access to FitnessPlanner.
