A no-show is a spot someone on the waitlist could have taken. Here is how to keep them down without getting stricter.

When someone does not show up, a spot stays empty while someone else was on the waitlist. And a member who skips once is more likely to skip again. Often the fix lies in how booking and cancelling work at your club.

Measure before you moralize

Mark who attended every class and session. One member with a busy month tells you little. A Tuesday class that loses a quarter of its bookings every week tells you something.

Look at the schedule first. The class may sit at a bad hour. Move the class before you talk to the members in it.

Make cancelling easy

If members have to message you to cancel, they put it off and forget. If they can cancel in the app themselves, they do it right away. The earlier they cancel, the better the chance someone else takes the spot.

Let the waitlist do the filling

When the waitlist moves up automatically, a freed spot gets filled without anyone phoning around. Members see that the waitlist works and join it again next time.

Send reminders in time

Most no-shows are forgotten bookings. Send a reminder 24 hours ahead, well before your cancellation window closes, so members who cannot make it still cancel in time. A second reminder an hour or two before the start helps anyone who forgot anyway.

Reasonable first, strict later

Pick a cancellation window members can keep, for example 12 hours before the start. For a 7 a.m. class that is 7 p.m. the evening before. Tell members at signup, not at the first conflict.

Start gently. After a first no-show, a friendly message is enough. Apply the rule once it keeps happening. Credits make this simple: a late cancellation or a no-show costs the credit.

Watch the members who stop booking

A member who simply stops booking is easier to miss than a no-show. By the time they cancel their membership, you are months late. So also check who has not booked in two or three weeks, and send them a message or give them a call. After three weeks, coming back is easy. After three months, much less so.
